Create a box-level inventory with clear references and the team or department responsible for each box. Avoid putting sensitive information on the outside where a simple reference number will do. Keep your detailed index securely within your own organisation.

Ask the questions that matter
Discuss who may access the boxes, how requests are handled, how quickly you need records back and whether the storage environment suits your documents. If your organisation needs a specialist archive service, specific certification or environmental controls, make those requirements clear. Do not assume they are included in general storage.
Agree responsibility before collection
Your organisation should decide which records it needs to keep and for how long. Confirm the applicable handling, cover and access arrangements with Hornes before transfer. Document destruction, scanning and archive retrieval services are separate requirements and must not be assumed to form part of storage.
